TERMS AND CONDITIONS
RESERVATION, CANCELLATION AND OTHER POLICIES
THIS IS VERY IMPORTANT, PLEASE READ THE TERMS AND CONDITIONS CAREFULLY
To help us provide you with the very best services at the lowest possible prices, and to avoid confusion and misunderstandings, we ask that you read the terms and conditions below carefully and note our policies.
PASSPORTS: Passports are required for all our clients travelling to and from abroad. Passports should contain at least 2 blank pages for visa and immigration stamps and must be valid for at least 6 months after your return date. Many countries will not allow you to enter their borders if you do not have at least 6 months of remaining validity on your present passport.
Due to Flight booking requirements, you must enter all traveller names on your reservation exactly as they appear on each traveller’s passport, including titles first, middle or last names. If accurate information is not provided, airlines may charge penalties to make corrections or even deny boarding, and you may not be permitted to enter some countries. Any changes in names or passport information should be reported to us immediately. Please note that any name changes after you complete your booking and any changes in passport information after your final payment may result in additional fees.
VISAS: Travel visas are required for many countries visited on our tour and cruise packages. We will send comprehensive information and instructions for S.A citizens, including application forms if applicable, in your confirmation packet. If you are not a S.A citizen, you must check with your own government agency and/or the consulates of all countries visited for entry and visa requirements for your nationality.
BOOKING, RESERVATION, DEPOSIT AND PAYMENT: The prices quoted are for payment by cash, direct deposit, wire transfer or money order. We accept payments via PayPal however admin charges will apply. Prices quoted are inclusive of Value Added Tax (VAT) as well as tourism levies applicable. A deposit of 50% of the total price is due within 48 hours after placing a booking to secure a reservation. If the departure date is within 30 days from the day of booking, then the full payment is required to secure the reservation. Failure to pay by that date entitles SA Star Tours to cancel your booking without notice and without refund of the deposits already paid. For some special trips, the booking date may be up to 2 months before departure. We also accept bookings from minors; however we do require the signature of either both the parents or the legal guardian on both, reservation form and liability waiver. Your reservation cannot be confirmed until we receive your deposit.
Airfare: All individual air reservations must be fully paid at the time of booking.
FUEL SURCHARGES: For packages that include airfare, the price includes any fuel surcharges. However, until tickets are issued, airlines reserve the right to increase fuel surcharges at any time without prior notice due to fluctuations in oil prices. When this happens, it may be necessary for us to amend the price of the package accordingly, and we will notify you immediately of such a change. After tickets are issued, they are no longer subject to increases in fares, fees, or fuel surcharges. You can avoid potential increases by making your final payment as soon as possible, before the due date. They also become fully non-refundable and unchangeable, and additional fees apply for any changes or cancellations.
FLIGHT SCHEDULE: The flight schedule for your tour package is included with your confirmation materials. Airline schedules and flights are subject to change at anytime without prior notice. We are neither responsible nor liable for any costs resulting from a change in airline schedules. This includes, but is not limited to: change or cancellation penalties incurred for tickets, international or domestic, not issued by SA Star Tours; additional nights of hotel before, during, or after one of our tour packages; and additional airport transportation. Under no circumstances shall we be liable for any special, incidental or consequential damages arising from the foregoing. We recommend that passengers reconfirm their flight times 72 hours prior to departure.
ACCOMODATIONS: Our land tour packages generally include hotel accommodations. Cruise packages always include cabins. All bookings are subject to availability. Advertised package prices are based on double occupancy rooms or cabins. Single, triple or quadruple occupancy rooms or cabins may be available upon request, but availability cannot be guaranteed and single occupancy rates may differ. We usually try to reserve rooms or cabins with two beds, but sometimes only one bed is available. Special requests (bedding, smoking preference etc) are subject to availability and confirmation by the hotel or cruise line.
With your final travel documents, you will receive a detailed list of all accommodations on your tour package, including hotel addresses, telephone & fax numbers. Sometimes due to causes beyond our control, it is necessary to change the hotels or cruise ship used on your tour package, but we always do our best to ensure that substitutes meet or exceed the quality and location of the original. In many cases, the choice of hotels are based on the opinions of local operators, and we are not responsible for the quality or location of these accommodations.
BAGGAGE: Most of our tour & cruise packages allow one checked bag per person, not to exceed 20 kilograms, and one carry-on bag per person, which must fit in an overhead bin or under a seat. Certain packages may have additional restrictions depending on the airline and limitations of the train, ship, etc. You will receive specific baggage allowance information with your final documents, which has information for our various carriers. If you exceed the baggage limits, you may be subject to excess baggage charges assessed by the airlines. We are not responsible for lost or damaged luggage.
CONFIRMATION: Once we receive your booking and deposit or voucher, we will confirm all prices and availability. We will send you a confirmation email within 24 hours. If upon confirmation, any option or component you selected is no longer available or any price has increased, you may cancel your booking and receive a refund on your deposit, which is otherwise non-refundable.
FINAL PAYMENT: The remainder of the 50% balance of your booking must be paid within 48 hours after receipt of the confirmation of your reservation. Should your final payment be more than 15 days late, your reservation will be automatically cancelled and your deposit will be forfeited. For specially arranged and customised trips, full payment must be made 60 days before your trip starts. Final confirmation is provided after receipt of the payment in full.
CHANGES: Prior to receipt of your final payment, we can generally make changes to your booking and must be done by SA Star Tours. After we receive your final payment, we cannot make any changes to your booking except cancellation.
Airfare: Any changes to air reservations once ticketed will incur a R200 per person processing fee from SA Star Tours Travel in addition to any penalties/fees or additional airfare required by the carrier.
Hotels/Cars: Any changes to hotel or car reservations should be completed SA Star Tours operatives. Any penalties/fees or additional cost will be advised by SA Star Tours prior to the change.
CANCELLATIONS: If you need to cancel a reservation, please do so in writing (by e-mail). Some tours include a minimum processing charge and will be deducted as a cancellation fee.
Accommodation: Each hotel/guest house/B&B has its own cancellation policies If you are only booking accommodations from SA Star Tours and none of our additional packages, then cancellation policy of the hotel will be used and standard cancellation policy of SA Star Tours will not apply.
REFUNDS: If we receive your cancellation during the periods below:
+90 days before the starting date of the trip, we refund 100% of your deposit.
+60 days before the starting date of the trip, we refund 50% of your deposit.
+30 days before the starting date of the trip, we refund 25% of your deposit
At less than 30 days notice (even after payment is received in full), no refunds can be given.
The tour price is quoted as a package. No partial refunds or credit will be given for services not used. Airline tickets once issued, become fully non-refundable, non-transferrable and unchangeable, and any requested changes that affect your flights (including change of passenger name, departure date, or return date) usually requires the purchase of new airfare or a fee, which will be added to your balance due. We recommend that you obtain travel insurance upon booking.
UNUSED SERVICES: Unused services cannot be refunded once the trip has begun. No refund can be made for absence by travellers from any part of the itinerary.
HEALTH AND FITNESS REQUIREMENTS: Participants must be in good health and in a good physical condition. It is vital that participants with medical problems make them known to us well before departure. If you suffer from severe muscular, chest, heart or bronchial disorders, or if you are a severe asthmatic, or have high blood pressure, you are strongly advised against participating. Our trips generally take place in remote areas where there is little or no access to normal medical services or hospital facilities for serious problems. Where necessary, evacuation can be prolonged but it is difficult and expensive. Medical and evacuation expenses will be the responsibility of the participant.
TOUR LEADERS/GUIDES: Our Tour Leaders and Guides take their responsibilities seriously and if a Tour Leader/Guide believes in his/her judgment that you should not participate in the trip, before your departure, even if you pass your medical, he/she may exclude you from the trip. In this circumstance you will be offered the option of taking another trip considered suitable for you or a full refund. If during a trip the Tour Leader/Guide considers you should not participate further he/she may direct you not to continue and you must follow the Tour Leader/Guide's instructions. In this case you will not be entitled to any refund. Travel insurance may compensate you depending on the circumstances.
PARTICIPATION: To avoid any discord within our groups and to provide our travellers with a positive touring experience, we reserve the right to reject or remove any participant who is deemed to be incompatible with or fractious to the group. Such determination is at the sole discretion of SA Star Tours and/or its representatives. In these cases, we will not refund any portion of the package cost, and all expenses incurred by the termination of the touring program are the responsibility of the removed traveller.
CANCELLED PROGRAMS: If SA Star Tours has to cancel a trip due to insufficient bookings, you will receive a full refund. SA Star Tours is not responsible for any additional expenses incurred by the participants in preparation for the trip. However, you will not be entitled to make any further claim for any injury, loss, expenses or damage (either direct or consequential) or for any loss of time or inconvenience which may result from such cancellation (including but not limited to visa, passport and vaccination charges, or departure, gear purchases, airport and airline taxes).
ROUTE CHANGES/POSTONEMENT OR DELAY: SA Star Tours may for any reason change the date of departure or conclusion of the tour, or it is possible that a route change, postponement or delay (either in relation to departure or to the duration of the expedition) may become necessary due to inclement weather, snow and ice conditions, political restrictions or any other cause. In the event of a change, postponement or delay, participants have no right to refund of the tour price (in whole or in part) or other compensation for any injury, loss or damage.
PACKAGE PRICES: Package prices are based on ground costs, airfares and exchange rates. SA Star Tours tries its utmost not to increase tour prices (in full or part), however sometimes increases are outside its control. We reserve the right to amend tour prices (or any part) without notice at any time before and including the departure date. Amendments may be necessitated for many reasons including, but not limited to, exchange rate fluctuations, increased fuel costs, airfares, airport charges etc. Any increase in tour prices must be paid prior to the departure date. Verbal quotes are an estimation to be used as a guideline only. SA Star Tours will not be bound by or held responsible for any verbal quotation provided.
EXCLUSION FROM TOUR PRICE:
The following items are excluded from the tour price:
• visa, passport and vaccination charges;
• departure, airport and airline taxes;
• extra meals not included in the itinerary;
• laundry, postage, personal clothing, medical expenses, personal travel insurance and items of a personal nature;
• emergency evacuation charges; and
• tips and excess baggage charges.
We do our best to provide accurate and up-to-date information. Please confirm prices and details with us prior to booking.
By making travel reservations on our website or purchasing any travel services offered by SA Star Tours, you warrant that:
1) you are at least 18 years of age and have the legal authority to create a binding legal obligation;
2) you will only make reservations for you or other people for whom you are legally authorized to act;
3) you accept and agree to all the Terms & Conditions presented herein;
4) you will inform such other persons about the Terms & Conditions that apply to the reservations you make on their behalf, and warrant that they accept and agree to those Terms & Conditions; and
5) all information supplied by you for the purposes of making a reservation is true, accurate, current and complete to the best of your knowledge.
SA Star Tours arranges these tour packages, only as agent for the companies and services they represent. As a consequence, SA Star Tours accepts no responsibility for accidents, damage, baggage losses and/or delays due to weather, strikes, acts of God, acts of governments or authorities, wars, criminal acts committed by third parties, hostilities, civil disturbances, riots, defects of vehicles or breakdown in equipment, or to the fault or default of any company used for carrying out these tour packages. Nor shall SA Star Tours be liable for any damage resulting directly or indirectly from delays, cancellation or changes in flights. In the event it becomes necessary or advisable, for the comfort or well being of the passengers, or for any reason whatsoever in the professional judgment of SA Star Tours to alter the itinerary or arrangements, such alternations may be made without penalty or liability against SA Star Tours. Additional expenses shall be borne by the passengers.
SA Star Tours reserves the right, at its absolute discretion, to withdraw services and make changes and alterations in the itinerary as may be necessary for the proper handling of the tour package or to refuse or cancel any person at any time, without being under obligation to assign a reason therefore. In the event of exercise of this right, the Tour Operator shall be under no liability to that person whatsoever.
Some packages include scheduled stops at specialty stores or factories, where you can view a demonstration of a local craft and purchase merchandise. We are not responsible for the quality or authenticity of items purchased by our travellers. It is always a good idea to comparison-shop, and to thoroughly inspect all merchandise before leaving the store or shop, as most stores will not permit you to return or exchange purchased items. Purchase cost may not include shipping/handling fees or customs charges. We shall bear no responsibility for the delivery or receipt of any item purchased by our travellers while on one of our tour packages.
Regarding any and all services and accommodations furnished, SA Star Tours expressly disclaims all responsibility or liability over any matter whatsoever for loss, damage, injury or expense to property or person due to any cause whatsoever occurring during the duration of the tour package or otherwise. SA Star Tours and/or their agents can accept no responsibility for losses and accidental expenses due to changes in schedules, sickness, weather, strikes, terrorism, war, quarantine or other causes. All such losses or expenses will be borne by the passengers.
The international carriage of passengers is subject to international conventions and treaties, where applicable. These international agreements limit and, in some events, exclude the carrier's liability to passengers. Where any claim or part of a claim (including those involving death or personal injury) concerns or involves any travel arrangements (including the process of getting on or off the transport concerned) provided by any air, sea, inland waterways, rail, or road carrier or any stay in a hotel, SA Star Tours's maximum liability is the maximum which would be payable by the carrier, or the hotel keeper concerned under the applicable international convention, treaty, or regulation applicable to the travel arrangements or hotel stay in that situation.
In the absence of their own negligence, SA Star Tours shall not be responsible for any cancellations, delays, diversions or substitution of equipment, or any act or omission whatsoever by air carriers, hotels, transportation companies, or any other persons providing any of the services and accommodations to passengers, including any results thereof, such as changes in services or accommodations necessitated by same. Nor shall they be liable for any loss or damage to baggage or property, or for injury, illness, or death, or for any damages or claims whatsoever arising from loss, negligence or delay from the act, error or negligence of any person not its direct employee or under its exclusive control. SA Star Tours is not responsible for any criminal conduct by third parties.
The airline, rail, coach and ship companies concerned are not to be held responsible for any act, omissions or events during the times that passengers are not aboard their aircraft or conveyances. The passage contract in use by the airlines concerned, when issued, shall constitute the sole contract between the airlines and the purchasers of this tour package or passengers. SA Star Tours reserves the right to cancel any tour package, for any reason, prior to departure and cannot be held responsible for any damages resulting from said cancellation. In case of such cancellation by SA Star Tours, a full refund of the monies paid to SA Star Tours will be offered. SA Star Tours is liable to the customer for any funds received from the tour operators due to changes or cancellation of any part or all of the itinerary. This represents the entire agreement between the passenger and SA Star Tours. There is no additional liability.
